Municipal Personal Records Database

The Municipal Personal Records Database (GBA) contains all the records of the Dutch population. It used to be called the Population Register (‘Bevolkingsregister’). Municipalities are responsible for maintaining the data. Sometimes your details change, for example if you move. You may sometimes need an extract from the GBA, e.g. when you enrol in a study programme.

A GBA extract provides proof of your registration in the municipality’s personal records database. The document contains your personal details known to the municipality. One example is your address.

Institutions and official agencies will sometimes ask you to provide them with an extract, for example when you enrol in an educational programme, or you want to apply for benefits.

What are the conditions?

You are registered at an address in The Hague.

Which extracts can I apply for?

You may request a standard extract or an extract containing supplementary information. Extracts with supplementary information also contain the details found in a standard extract.

What will I need?

You can apply:

  • Digitally: using your DigiD.
  • In person: proof of identity. Are you requesting an extract on behalf of someone else? You will also need to bring along this person’s proof of identity (original or copy). You will also need the person’s written authorisation. Please note: Are you applying for an extract for your children under the age of 16? Then no written permission is required.
  • In writing: a letter signed by you and a copy of your proof of identity.
  • In writing with authorisation: a letter in which you give the authorised person written authorisation to collect the document on your behalf. The letter must be signed both by you and the person you are authorising. Don’t forget to include a copy of your proof of identity and that of the authorised person.

A standard extract costs € 12.40 (excluding postage costs for a request in writing).

Please note: In certain cases the municipality offers this service free of charge. Do you think you might qualify for this? Then take along a letter from the institution requiring the extract.
