Subsidies and sponsorship for student clubs

Published: 21 June 2010 Modified: 06 February 2012

Would you like to organise a project with your student club? Apply for a subsidy at the municipality.

Students

What is it?

Projects by student clubs may be eligible for a financial contribution towards the costs. The financial contribution takes the form of a subsidy or sponsorship.

Possibilities for subsidy

A project is eligible for a subsidy if it complies with each of the following three goals:

  • The project contributes to an attractive climate for students in The Hague outside of class time, for example in the area of sport or culture;
  • The project offers scope for individual initiative for and by students in The Hague;
  • The project offers opportunities to students with original ideas and/or exceptional talents.

Possibilities for sponsorship

A project is eligible for sponsorship if it complies with the goal of reinforcing the image of The Hague as an attractive city for students and/or as the international city of peace and justice with an educational programme which supports this image. The applicant must be able to substantiate the promotional and publicity value of the project for The Hague.

Please note: The applicant need not indicate which type of contribution is applicable. The division of Educational Policy at the Municipality of The Hague will deduce that for itself from the application. The two forms of financial contribution are not substantively different.

What are the conditions?

  • The applicant ensures that the project is co-financed out of its own funds and/or the funds of other organisations. The applicant will report any pending applications with other sections of the Municipality of The Hague and/or other organisations.
  • The subsidy or sponsorship provided by the municipality is one-off. A subsequent subsidy or sponsorship contribution for the same project is only possible if the project has been extensively renewed.
  • The project takes place in The Hague or is closely connected with activities in The Hague. The project may commence or terminate at a definite time but it may also be for an indeterminate period.
  • The main language is Dutch or English.
  • The project is accompanied by sufficient promotion. In the case of a subsidy the use of the logo of the Municipality of The Hague (the stork or ‘ooievaar’) is compulsory. In the event of sponsorship the city of The Hague’s ‘trademark’ (the kite or ‘vlieger’) is obligatory.
  • The applicant submits the signed application no less than six weeks before the start of the project to the division of Educational Policy at the Municipality of The Hague.
  • The maximum amount of money which a student club can request is € 5,000.
  • If the project is an event, the applicant is responsible for carrying out the necessary procedures (for example, applying for a permit). The applicant will also list these procedures in his application.

Projects are excluded from subsidy or sponsorship if they:

  • are part of an existing educational programme;
  • are part of the regular administration of the student club (accommodation, equipment etc.);
  • have an explicit political or religious character;
  • are exclusionary, that is they are open only to members of the student club or any other delimited group;
  • take the form of an educational trip;
  • aim at profit or pay;
  • aim at collecting money for charity without cooperating with an organisation affiliated with the Centraal Bureau voor Fondsenwerving (Central Bureau on Fundraising /CBF);
  • are solely in the form of a party or anniversary celebration.

Who is it for?

Student clubs which are active in The Hague and are a legal entity.

If students want to carry out a project but they do not form a legal entity, they can ask another organisation to act on their behalf as an applicant. The other organisation must be active in the field of higher education or offer provisions for students in The Hague under the terms of its articles of association or policy plans.

What does it cost?

Nothing.

How long does it take?

It takes a maximum of 6 weeks before the subsidy application is processed.

How do I apply / what do I do?

The applicant completes the application form. The form contains questions about the organisation, the project and the budget.

In the event of a first-time application, the applicant encloses copies of three documents:

  • a recent statement from the applicant’s bank,
  • the applicant’s notarial memorandum of association and
  • the applicant’s record of registration with the Chamber of Commerce.

The Educational Policy group assesses the application using the criteria and takes a decision on the application on behalf of the Municipal Executive.

Positive outcome

For a proposal which has been approved, the applicant will receive two copies of the subsidy grant or sponsorship agreement. In the case of a sponsorship agreement, the applicant signs both copies and returns one of them to the division of Educational Policy at the Municipality of The Hague.

The amount specified in the subsidy grant or sponsorship agreement will be transferred to the applicant’s registered bank account.

Within a month after the project has been completed the applicant completes the evaluation form unless otherwise agreed.

Negative outcome

If the application is not approved, the applicant receives a rejection notice.
